**Payment data.** We may collect data necessary to process your payment if you make purchases, such as your payment instrument number and the security code associated with your payment instrument. Payment data is stored by Stripe. You can read [Stripe’s privacy notice](https://stripe.com/privacy).

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to it.

### Information automatically collected

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity, such as your name or contact information, but may include device and usage information such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services and for internal analytics and reporting purposes.

The information we collect may include:

- **Log and usage data.** Service-related, diagnostic, usage, and performance information our systems collect when you access or use the Services. Depending on how you interact with us, this may include your IP address, device information, browser type and settings, date and time stamps, pages and files viewed, searches, features used, system activity, error reports and hardware settings.
- **Device data.** Information about the computer, phone, tablet, or other device you use to access the Services. - **Location data.** Information about your device’s location, which can be precise or imprecise. How much information is collected depends on the type and settings of the device you use to access the Services. You can opt out by refusing access or disabling the location setting on your device, although some aspects of the Services may then be unavailable.

### Website analytics

We use [Fathom Analytics](https://usefathom.com/) to understand aggregate use of this website, including page views and referring websites. Fathom does not use cookies. When an analytics request is made, your browser sends technical request information including your IP address and user agent. Fathom processes this information using privacy-preserving methods and does not store raw IP addresses alongside browsing activity. The statistics available to us are aggregated and are used to understand and improve the website.

The homepage video is delivered by Cloudflare Stream. When it loads, your browser connects to Cloudflare and sends the technical information needed to deliver the media, including your IP address and user agent.

When you submit the enquiry form, we collect your name, company name, email address and the details of your enquiry so that we can respond. Cloudflare Turnstile processes technical request information, including your IP address, to help us distinguish genuine submissions from automated spam. Valid enquiries pass through an Amazon Web Services Lambda function and are delivered to our sales inbox using Amazon Simple Email Service.

### Information collected from other sources

To enhance our ability to provide recommendations, relevant marketing, offers, and services to you and to update our records, we may obtain information about you from other sources, such as event organisers, event technology service providers, public databases, joint marketing partners, affiliate programs, data providers, and other third parties. This may include mailing addresses, job titles, email addresses, phone numbers, intent or user-behaviour data, IP addresses, social media profiles and URLs, and custom profiles for targeted advertising and event promotion.

## 2. How do we process your information?

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

- To facilitate account creation and authentication and otherwise manage user accounts
- To deliver and facilitate the delivery of Services to the user
- To respond to enquiries and offer support
- To send administrative information about our products, services, terms and policies
- To enable user-to-user communications
- To request feedback
- To deliver targeted advertising where applicable
- To identify usage trends
- To determine the effectiveness of marketing and promotional campaigns
- To save or protect an individual’s vital interest, such as preventing harm
- To deliver personalised recommendations
- To report and measure engagement for the legal data owner or data controller

We may use algorithms and other automated means to implement the above. Whenever we process your data for one of these purposes, we have determined that one or more of the following lawful bases apply:

- Performance of a contract
- Legitimate commercial interest
- Compliance with a legal obligation
- Consent

## 3. What legal bases do we rely on to process your information?

We only process your personal information when we believe it is necessary and we have a valid legal reason to do so under applicable law, such as with your consent, to comply with laws, to provide Services or enter into or fulfil our contractual obligations, to protect your rights, or to fulfil our legitimate business interests.

**If you are located in the EU or UK, this section applies to you.** The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the legal bases we rely on. These may include:

- **Consent.** We may process your information if you have given permission to use it for a specific purpose. You can withdraw consent at any time.
- **Performance of a contract.** We may process your information when necessary to fulfil our contractual obligations to you, including providing our Services, or at your request before entering into a contract.
- **Legitimate interests.** We may process your information when reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. This can include analysing and improving our Services, supporting marketing activities and improving user experience.
- **Legal obligations.** We may process your information where necessary to comply with legal obligations, cooperate with a law-enforcement or regulatory body, exercise or defend legal rights, or disclose information as evidence in litigation.
- **Vital interests.** We may process your information where necessary to protect your vital interests or those of a third party, such as where there are potential threats to a person’s safety.

We are generally the “data controller” under European data protection laws for the personal information described in this notice because we determine the means and/or purposes of the processing we perform. This notice does not apply to personal information we process as a “data processor” on behalf of customers. In those situations, the customer is the data controller and we process information on its behalf in accordance with its instructions. You should read the customer’s privacy policy and direct questions about its privacy practices to it.

**If you are located in Canada, this section applies to you.** We may process your information if you have given express consent for a specific purpose, or where implied consent is permitted. You can withdraw consent at any time. In exceptional circumstances, applicable law may permit processing without consent, including for investigations and fraud prevention, business transactions, legal proceedings, identifying injured, ill or deceased people, investigating financial abuse, and other circumstances allowed by Canadian law.

## 4. When and with whom do we share your personal information?

We may share information in specific situations and with the following third parties.

**Vendors, consultants, and other service providers.** We may share your data with third-party vendors, service providers, contractors, or agents who perform services for us or on our behalf and require access to it. We have contracts designed to safeguard personal information and limit third parties to acting on our instructions. These third parties may include:

- Amazon Web Services (AWS)
- Twilio
- TextMagic
- Meta (WhatsApp)
- Mandrill (Mailchimp)
- Fathom Analytics
- Cloudflare (Stream and Turnstile)

We may also need to share information in the following situations:

- **Organisation-administered accounts.** You may access our Services using an email address provided by, or an account controlled by, an organisation. That organisation may access information about you and your account activity, control the account, or delete the account. We may share your name and email address with that organisation.
- **Business transfers.** We may share or transfer information in connection with, or during negotiations for, a merger, sale of assets, financing, or acquisition of all or part of our business.
- **Affiliates.** We may share information with affiliates and require them to honour this notice.
- **Business partners.** We may share information with business partners to offer products, Services, or promotions.
- **Other users.** When you share personal information or interact with public areas of the Services, that information may be visible to other users and may become publicly available outside the Services.

## 5. What is our stance on third-party websites?

We are not responsible for the safety of information you share with third parties that we link to or that advertise on our Services but are not affiliated with us.

The Services may link to third-party websites, online services, or mobile applications. We do not guarantee those third parties and are not responsible for loss or damage caused by their websites, services, or applications. A link does not imply our endorsement. Information collected by third parties is not covered by this notice. You should review their policies and contact them directly with questions.

## 6. Is your information transferred internationally?

We may transfer, store, and process your information in countries other than your own.

Our servers are located in Ireland. If you access our Services from outside Ireland, your information may be transferred to, stored, and processed by us and the third parties described above in the United Kingdom and other countries.

If you are resident in the European Economic Area or United Kingdom, those countries may not have data protection laws as comprehensive as those in your country. We take necessary measures to protect your information in accordance with this notice and applicable law, including appropriate safeguards such as the European Commission’s Standard Contractual Clauses where required. Further details can be provided on request.

## 7. How long do we keep your information?

We keep information for as long as necessary to fulfil the purposes outlined in this notice unless a longer period is required or permitted by law, such as for tax, accounting, or other legal requirements. No purpose in this notice will require us to keep personal information for longer than twenty-four months past the start of an account’s idle period.

When we have no ongoing legitimate business need to process your information, we will delete or anonymise it. If that is not possible, for example because it is stored in backup archives, we will securely store and isolate it from further processing until deletion is possible.

## 8. How do we keep your information safe?

We aim to protect personal information through organisational and technical security measures. However, no electronic transmission over the internet or information-storage technology can be guaranteed to be completely secure. Although we work to protect personal information, transmission to and from our Services is at your own risk and you should access the Services within a secure environment.

## 9. Do we collect information from minors?

We do not knowingly collect data from or market to children under 18. By using the Services, you represent that you are at least 18, or that you are the parent or guardian of a minor dependent and consent to their use of the Services. If we learn that information from someone under 18 has been collected, we will take reasonable measures to delete it. If you become aware of such information, contact [data.compliance@sectorglobal.com](mailto:data.compliance@sectorglobal.com).

## 10. What are your privacy rights?

In some regions, including the European Economic Area, United Kingdom, and Canada, you have rights that allow greater access to and control over your personal information. These may include rights to request access and obtain a copy, request rectification or erasure, restrict processing, data portability, and object to processing.

We will consider and act upon requests in accordance with applicable law. If you are in the EEA or UK and believe we are unlawfully processing your information, you also have the right to complain to your local data protection supervisory authority.

**Withdrawing consent.** Where we rely on consent, you can withdraw it at any time by contacting us using the details below. This will not affect the lawfulness of processing before withdrawal or processing based on other lawful grounds.

**Opting out of marketing.** You can unsubscribe from marketing and promotional communications by using the unsubscribe link in emails, replying “STOP” or “UNSUBSCRIBE” to SMS or WhatsApp messages, or contacting us. We may still send service-related messages, respond to service requests, or contact you for other non-marketing purposes.

**Account information.** You can review or change account information through your account settings. If you ask us to terminate an account, we will deactivate or delete the account and information from active databases, although we may retain information to prevent fraud, troubleshoot problems, assist investigations, enforce legal terms, or comply with legal requirements.

Questions about privacy rights can be sent to [data.compliance@sectorglobal.com](mailto:data.compliance@sectorglobal.com).

## 11. Controls for do-not-track features

Most web browsers and some operating systems and mobile applications include a Do Not Track setting. No uniform technology standard for recognising and implementing these signals has been finalised. We do not currently respond to DNT browser signals or another mechanism that automatically communicates a choice not to be tracked online. If a standard is adopted that we must follow, we will describe that practice in a revised notice. Our Fathom Analytics configuration is set to honour Do Not Track signals.

## 12. Do California residents have specific privacy rights?

California residents are granted specific rights regarding access to personal information. California Civil Code Section 1798.83 permits qualifying residents to request information once a year, free of charge, about categories of personal information disclosed to third parties for direct-marketing purposes and the names and addresses of those third parties. Requests should be made in writing using the contact details below.

The California Code of Regulations defines a resident as an individual who is in California for other than a temporary or transitory purpose, or an individual domiciled in California who is outside the state for a temporary or transitory purpose.

Depending on your circumstances, rights may include:

- The right to know whether we collect and use your personal information
- The right to know the categories collected and the purposes for which they are used
- The right to know whether information is sold or disclosed for a business purpose and the categories of recipient
- The right to request deletion, subject to exceptions provided by law
- The right to correct information or restrict or object to processing
- The right to designate an authorised agent
- The right to non-discrimination for exercising privacy rights

We may need to verify your identity or authority to make a request. Information provided for verification will be used only for that purpose and additional verification information will be deleted when verification is complete.

Sector Global Limited has not sold personal information to third parties for a business or commercial purpose. Where personal information is disclosed to service providers for a business purpose, it is handled under written contracts and may include identifiers, customer-record information, commercial information, and internet or electronic-network activity information as described elsewhere in this notice.

To exercise these rights, contact [data.compliance@sectorglobal.com](mailto:data.compliance@sectorglobal.com).
